Job Description

B usiness Administrator - Spire London East, Redbridge

Job Purpose:

To ensure all administrative processes within the hospital are maintained effectively through strict compliance to Spire procedures and to undertake basic financial processes in accordance with procedures as required.

  • To call off daily and monthly reports and action them accordingly to specified work instructions
  • To ensure all billing is actioned promptly and accurately in line with Spire procedure identifying billing problems, placing billing alerts, suspending and clearing as required. To follow up on billing queries liaising with FSSC as required.
  • To establish and maintain excellent working relationships with internal and external stakeholders.
  • To perform regular cashiering, banking and petty cash duties reconciliation's, posting entries to the accounting systems according to work instructions.
  • To accurately input payroll information and deal with staff queries through effective liaison with payroll department and Heads of Departments.
  • To prepare the month end returns as required for accruals, pre payments, banking transactions and petty cash.
  • To co-ordinate the request for payment of standard invoices, consultant fees and patient refunds.
  • To facilitate regular meetings to evaluate the effectiveness of the hospital processes.
  • To review and take appropriate action for overdue vendor debt and liaise with the General Manager for arrangements for collection.
  • Line mgmt responsibility for Assistant Business Administrator, including performance review.
  • Any other duties as required.

Qualifications and Training
  • Excellent numeracy skills
  • A professional payroll qualification or actively studying for one

  • Experienced in a wide range of administration, with a keen eye for detail
  • Excel knowledge

Knowledge and Technical Ability
  • Significant working knowledge of all statutory regulations, including tax year end procedures and pension payments
  • An advanced working knowledge of Excel, including formulas and V look ups
  • A good understanding of statutory payments, including SSP and SMP

Skills and Behaviours
  • Strong administrative skills, preferably in a similar role with a keen eye for detail
  • Confident telephone manner with the ability to communicate with a wide range of customers at all levels
  • Ability to build and maintain effective working relationships, both internally and externally
  • The ability to work effectively as a team
  • Ability to work on own initiative and prioritise demanding workloads accordingly.
  • Strong focus on delivering and meeting customer expectations
  • Ability to produce and analyse management information using appropriate software packages

  • The role is office based in a highly pressurised environment working to tight deadlines
  • Security and confidentiality are of paramount importance and care is required to ensure that the information is adequately protected
  • Occasional travel is required
