Main duties of the job

1. Dealing with a wide range of enquires from staff and patients, both orally and in writing.

2. Set up and maintain databases.

3. Prepare new records

4. Accurate data entry.

5. Ensuring efficient message system is in place to deal with telephone enquiries promptly.

6. Monitor availability within service and escalate issues where appropriate.

7. Demonstrate initiative and ensure day to day running of their service office.

8. Undertaking routine administrative duties, including photocopying, filing, scanning, document distribution, and other tasks relevant to the role when required.

9. Maintaining departmental supplies stock and dealing with repair/maintenance of equipment.

10. Order non-stock items as requested via the e-procurement systems and supply items via NHS Supplies.

11. Assisting with the induction and training of new staff to the department.

12. Complying with the Data Protection Act and Caldicott guidelines.

13. Supporting of colleagues in other services within the admin structure if required.

14. Generate and prepare reports, letters, agendas and minuting meetings as required.

15. Attending training events that may be relevant in the execution of their duties.

16. Proactively managing own workload on a daily basis to ensure all tasks are completed.

17. Follow departmental Standard Operation Procedures (SOP's).

18. Ensuring effective communication within the team and with other services.

19. Actively participating in departmental or Trust audits, as appropriate.
