Job Description

Main duties of the job

The successful applicant will have excellent communication and organisational skills and have a broad range of administration and secretarial experience, being able to work with initiative and sometimes under pressure.

The post-holder will work as part of a dynamic team supporting consultants, clinicians and team managers in the smooth running of the Bolton CAMHS service.

The successful applicant will work directly with the consultant, providing secretarial duties and co-ordinate and facilitate the dissemination of information to and from the team and be required to deal efficiently, precisely and courteously with telephone calls from service users as well as health professionals.

To provide a full and comprehensive PA role to multiple consultants and medical staff within the Specialist Services Network including all CPA work for those consultants.

You will be a well-organised and experienced secretary with knowledge of medical terminology. You will ensure all consultants and clinicians within your area of responsibility are organised and equipped to fulfil their responsibilities. Appropriate electronic and paper filing systems will be maintained, along with coordinating their clinical activities.

To carry out all relevant tasks pertinent to the Specialist role of the Consultant Psychiatrist and Medical staffing.

Detailed job description and main responsibilities
To become an effective member of the Medical Secretariat, developing productive working relationships with other members of the team and developing and demonstrating a sound understanding of the aims and business activities of the Trust. To ensure that all dealings are conducted in a manner that reflects the professional reputation of the Secretariat.

To work flexibly to provide efficient, high quality secretarial, administrative and support services to the Consultant Psychiatrist and their medical colleagues as required and to maintain office cover.

Undertake audio/shorthand/clerical duties for your consultants, including minute taking as required, clinical letters, reports, discharge correspondence and clinical activity data inputting, as well as copy and audio typing of all care documents including weekly ward reviews. This may include administrative support relating to consultant tutorial work.

To manage and prioritise own workload appropriately, frequently under pressure, without supervision.

To react quickly to urgent situations in order to coordinate an excellent service to patients/their carers, health professionals and other professional bodies.

Excellent communication skills are vital: good relationships need to be established and maintained with other medical/professional staff (other doctors, CPNs, Social Workers, ward staff) involved in both inpatient and outpatient care in order to ensure that these personnel engage in taking action where there is an urgent situation requiring their input.

Excellent telephone skills are required to communicate with patients with acute mental health problems, including psychosis, mental disorders. The medical secretary is the first point of contact for these patients. Consultants will not always respond to requests for calls to be returned to other medical personnel/GPs/patients. The medical secretary needs to be sensitive and diplomatic in dealing with such callers, particularly when delivering information of an adverse/unpleasant nature on behalf of the Consultant.

To pass on to the Consultant Psychiatrist, information received from patients/carers regarding their mental state, medication, problems they are experiencing, etc and to ensure that this is done in an accurate and timely manner. This role is essential in the smooth running of pat
